Optify Price Quote Feature
Best practices when it comes to processing Optify price quotes. Here is a video tutorial: https://www.loom.com/share/6448454c6f5f4c55831da47d02d0c3af
How to use the Price Quote feature (patient flow & admin response)
Patient side: requesting a price quote
- When a patient finds a frame on your site, they click Get a Price Quote.
- They fill out their contact information and submit the request.
- Optionally, they can also add:
- Eyewear preferences (how they'll use the glasses)
- Lens preference
- Vision plan (if they have one)
- A photo/upload of their prescription
- Once submitted, you and your team are notified via the admin email address on file.
Admin side: responding to a price quote
- Go to the Price Quote section on your dashboard.
- Locate the patient's request and click Respond on the right-hand side.
- On the left, you'll see the patient's details: phone number, email, date of birth, prescription, vision plan, and lens preferences (if provided).
- Build out the quote:
- Add lenses directly from your inventory using the dropdown to select lens packages, or
- Use a custom lens option by typing in a description and price, or
- Choose frame only if that fits the situation
- Under Benefits and Discounts, apply any insurance benefits or promotions — the price will adjust automatically.
- Use the Message to Patient field to add any helpful context or notes.
- Click Send to Patient once everything is filled out.
Best practice: If you don't yet have enough information to give an accurate out-of-pocket estimate, reach out to the patient by phone or email first (to gather details or schedule an appointment) rather than sending a quote. Only send a price quote once you're confident it reflects what the patient will actually pay.
How to disable the Price Quote feature
- Go to Admin Settings.
- Scroll to the Price Quote section.
- Click the toggle buttons on the left-hand side (they'll appear grayed out once disabled).
- Click Save.
The feature will no longer be available to your patients.
